CloudNation B.V., located at Kosterijland 10, 3981AJ Bunnik, is responsible for the processing of personal data as outlined in this privacy policy. TicketBuddy, an AI chatbot solution developed by CloudNation B.V., respects the privacy of its users and processes personal data with care and in accordance with applicable laws and regulations.

1. Data Controller
CloudNation B.V. is the data controller for the processing of personal data in connection with the use of TicketBuddy.

2. Personal Data Collected
When using TicketBuddy, the following personal data is processed:

  • Name and contact details (such as email address, phone number) of users;

  • IP address and user activity (such as interactions with TicketBuddy);

  • Content of conversations and documentation between the user and TicketBuddy (where applicable, for optimization and support);

  • Any other personal data provided voluntarily by the user through available API connectors.

3. Purposes of Processing
CloudNation B.V. processes personal data for the following purposes:

  • Providing access to and functionality of TicketBuddy;

  • Analyzing and improving the chatbot’s functionality, including optimizing the user experience;

  • Responding to inquiries and providing customer support;

  • Complying with legal obligations;

  • Conducting customer research and analysis to improve TicketBuddy services.

4. Legal Basis for Processing
CloudNation B.V. processes personal data on the following legal bases:

  • Consent: We may process your personal data that are provided in the course of the use of TicketBuddy.

  • Performance of a contract: The processing of personal data is necessary for the performance of the contract between CloudNation B.V. and the user.

  • Legal obligation: CloudNation B.V. may be legally required to process personal data, such as for tax obligations.

  • Legitimate interest: To improve our services, such as analyzing user activity and optimizing the chatbot.

5. Data Retention
CloudNation B.V. retains personal data no longer than is strictly necessary to achieve the purposes for which the data was collected. Personal data is retained according to the following criteria:

  • Conversations with TicketBuddy: Conversations are retained for a period agreed upon with the customer. The content of conversations remains within the customer's subscription and is not used for AI model training purposes.

  • Contact details: These are retained as long as necessary for communication with the user and service provision.

After the retention period has expired, personal data will be deleted or anonymized, unless a longer retention period is required by law.

6. Sharing of Personal Data with Third Parties
CloudNation B.V. only shares personal data with third parties if it is necessary for the performance of the agreement or to comply with a legal obligation. Third parties with whom personal data is shared include:

  • Hosting providers and cloud storage providers for storing and processing data;

  • Platform or software providers for processing data;

  • Government authorities when required by law or regulation.

Agreements are made with third parties who process personal data on behalf of CloudNation B.V. to ensure the same level of security and confidentiality of your data.

7. Data Security
CloudNation B.V. takes appropriate technical and organizational measures to protect personal data from loss, unauthorized access, alteration, or disclosure. This includes, but is not limited to:

  • Each TicketBuddy environment is installed in its own isolated setup;

  • Encryption is applied to all stored data;

  • Access restrictions to personal data;

  • Secured networks and systems;

  • Regular security audits.

8. User Rights
Users have the following rights regarding their personal data:

  • Access: Users can request access to their personal data processed by CloudNation B.V. at any time.

  • Rectification: Users have the right to request the correction of inaccurate or incomplete personal data.

  • Erasure: Users may request the deletion of their personal data unless CloudNation B.V. is legally required to retain this data.

  • Restriction of processing: In certain cases, users may request the restriction of the processing of their personal data.

  • Objection: Users can object to the processing of their personal data based on legitimate interest.

  • Data portability: Users have the right to receive their personal data in a structured, commonly used, and readable format and transfer it to another data controller.

Requests regarding the above rights can be submitted via email (connect@ticketbuddy.io). CloudNation B.V. will respond to the request as soon as possible, but no later than 30 days.

9. Changes to the Privacy Policy
CloudNation B.V. reserves the right to change this privacy policy. Changes will be published on this page, and users will be notified by email or through CloudNation B.V. if necessary. It is advisable to consult this privacy policy regularly.
